How to Ask for Reviews on WhatsApp: Templates and Best Practices
For most local businesses in Spain and Latin America, WhatsApp is already the channel used to talk to customers: appointment confirmations, quotes, order-ready notices. That makes it the natural place to ask for a Google review. As long as the message is short, arrives at the right time, and doesn't break the two rules Google explicitly bans. Repliq is a tool that syncs the reviews on your Google Business Profile listing and generates AI replies in your brand's tone; this article covers the step before that: getting those reviews to arrive in the first place.
How do you ask for reviews over WhatsApp?
Asking for reviews over WhatsApp means sending a short message with the direct link to the Google review box at the right moment (right after the service, or when a milestone is reached). WhatsApp works well because customers already check that channel several times a day and have their phone ready to type. Templates should adapt to context (service, formality, relationship with the customer) and always respect Google's two rules: never pay for reviews, never show incentives before writing.
Why WhatsApp works better than email for this
A WhatsApp message lands in an inbox the customer already checks several times a day, with no spam filters or promotions tabs in the way. On top of that, the customer is reading from the same device they'll write the review on: tapping the link opens Google's review box directly on their phone, with no device switch or re-login. That reduction in friction is the practical difference between email and WhatsApp.
Before you write anything: get the right link
Every template below assumes you have the short link to the review box generated by your own Google Business Profile. Not any URL will do:
- Yes: the review-request link from your profile, which opens the write-a-review box directly.
- No: your website's URL, even with a button pointing to Google, it adds an extra click.
- No: the generic Google Maps listing, where the customer has to hunt for the write-review button.
6 WhatsApp templates by context
These are starting points, not text to copy verbatim: adapt them to the tone you already use with your customers. Replace [link], [name], and [service] with your actual details.
1 · RIGHT AFTER THE SERVICE, FRIENDLY TONE
"Hi [name]! Thanks for stopping by today 😊 If you enjoyed the experience, leaving us a review on Google would help us a lot: [link]. It only takes a moment, and we read every one."
2 · PROFESSIONAL SERVICE, FORMAL TONE
"Good afternoon, [name]. Thank you for trusting us with [service]. If you were satisfied with the result, we'd appreciate it if you shared your experience on Google: [link]. Your review helps other people decide."
3 · ALONGSIDE AN IN-STORE QR CODE
"Thanks for stopping by! If you didn't get a chance to scan the QR code at the counter, here's the direct link to leave us your Google review: [link]. See you again soon!"
4 · REPEAT CUSTOMER, TRUSTED TONE
"[name], after all these years coming by, you're basically family 🙌 Could I ask a favor. Would you leave us a review on Google? Coming from a regular, it means twice as much: [link]. Thank you!"
5 · DELAYED RESULT (RENOVATION, TREATMENT, CASE WORK), DAYS LATER
"Hi [name], it's been a week since [service] and we wanted to check in on how things are going. If you're happy with the result, sharing it on Google would help us a lot: [link]. And if anything isn't as you expected, message us here and we'll take a look."
6 · AFTER DELIVERY OR PICKUP, VERY SHORT
"Order delivered ✅ Thanks, [name]. Mind leaving us your thoughts on Google? [link]"
How to choose the right template
The variable that changes the outcome most isn't the wording. It's the fit between when you send it and the type of service. A quick guide:
| Business type | Sending time | Template |
|---|---|---|
| Restaurant, café, shop | Same day, after the visit | 1 or 3 |
| Hair salon, beauty, repair shop | Hours after the service | 1 or 4 |
| Clinic, law office, consultancy | After closing the case or discharge | 2 or 5 |
| Renovation, installation, real estate | Days or weeks later | 5 |
| Local ecommerce, delivery | After confirming delivery | 6 |
Compliance: Google's two red lines
Don't incentivize the review. Offering a discount, a gift, a giveaway, or any compensation in exchange for leaving a review is banned by Google Business Profile's policies. It doesn't matter if the incentive is small or unrelated to the rating: just mentioning a reward in the message already violates the policy and can get those reviews removed.
Don't do review gating. Asking first "how was it?" and sending the Google link only to those who respond well, routing everyone else to a private form, is also banned. If you send the template, send it to every customer in that group equally.
You can ask every customer for a review, over WhatsApp or any other channel, remind them once if there was no response, and offer an alternative private channel as long as the public link is also in the same message for everyone (as in template 5).
Data protection: use the number you already have for a reason
Messaging a customer on WhatsApp who gave you their number to manage an appointment or order is an expected communication within that relationship. Pulling numbers from lists, buying them, or using them for mass messages unrelated to the service provided is a different matter and falls under GDPR and equivalent data-protection rules in each country. As a practical rule: message only real customers, from your business number, and immediately respect anyone who asks to stop receiving messages.
Common mistakes in the message
• Typing the same text by hand each time with different typos. Save the template as a WhatsApp Business quick reply so the link never gets copied wrong.
• Sending it at odd hours. A message at 11pm feels intrusive even if the content is flawless.
• Following up more than once. One reminder is fine; two is spam and damages the relationship with a customer who would otherwise return.
• Asking for reviews and not replying to them. Filling your listing with reviews and answering none of them signals neglect exactly where you just sent your customers.
What to do with the reviews that come in
A well-run WhatsApp campaign increases your review volume. And with it, the work of replying to them. That's where Repliq comes in: it syncs your Google listing every 2 hours, generates an AI-drafted reply in the tone you configure, and lets you approve it, edit it, or turn on Autopilot so it publishes on its own, with a safety filter that holds back for manual review any review containing legal-risk language.

Frequently asked questions
Is it legal to ask for Google reviews over WhatsApp?
Yes. Google Business Profile's policies allow you to ask customers for reviews through any channel, including WhatsApp, as long as no compensation is offered in exchange and the request is made equally to all customers, without pre-filtering based on whether you think they'll be satisfied.
Can I offer a discount in exchange for the review in the message?
No. Google explicitly bans incentivizing reviews with money, discounts, gifts, or any other benefit. A WhatsApp message that mentions a reward exposes your listing to having those reviews removed or your profile penalized.
How long should the WhatsApp message asking for a review be?
Between two and four sentences. WhatsApp is read on a small screen and the link needs to be visible without scrolling: if the customer has to read a long paragraph before finding where to tap, many will give up before reaching the link.
When's the best time to send the WhatsApp message?
For most businesses, within the hours following the service, while the experience is still fresh. For services whose results are only appreciated days later (a renovation, a treatment, legal work), it's better to wait until the customer can evaluate the actual result before asking for the review.
Which link should I put in the message?
The short link to the review box generated by your own Google Business Profile. A link to your website or the general Google Maps listing adds extra steps and reduces how many customers actually end up writing the review.
